Working time / break time calculator

Calculate the working time for each shift and the overall total from clock-in and clock-out times and total break minutes. For shifts spanning midnight, specify clocking out the next day. Review the results as hours:minutes and decimal hours, copy the details as a table or CSV, or save a CSV with a total row.

Enter shifts

1 shifts / up to 100

Shift 1

1 hour is 60 minutes. For multiple breaks, enter the total.

What you can do

Total working time after subtracting breaks

Subtract the total break minutes entered from the elapsed time between clock-in and clock-out. You can add shifts to total them together.

Specify shifts that end the next day

For shifts that cross midnight, select “Clock-out is the next day.” You can check each shift's times even in a list containing both day and night shifts.

Check time formats and save

Working time is displayed as hours:minutes and decimal hours. Copy shift details as a table or CSV, or save a CSV file with the summary included.

How to use

  1. Enter clock-in, clock-out, and breaks

Enter clock-in and clock-out using the 24-hour clock, and breaks as total minutes. Check the option if clock-out is the next day. You can use an optional note to identify each shift.

  2. Add shifts and calculate the total

For multiple shifts, select “Add shift.” Check each shift's input and press “Calculate total.” If any input is incorrect, correct it before recalculating.

  3. Save shift results and the total

Check total working time, total breaks, and each shift's result. Use “Copy” to get details in table or CSV format. “Save as CSV” also includes a total row at the end.

Useful when

Total working hours for several days

Use this to total working hours for a week or another period from each shift's clock-in, clock-out, and breaks. Notes can identify each shift.

Include shifts that cross midnight

Use this to total shifts such as 22:00 to 06:00 the next day together with day shifts. You can check the next-day clock-out setting for each shift.

Transfer totals to a spreadsheet

Use this to transfer working time as minutes or decimal hours and reorganize it in spreadsheet software. You can save each shift and the total as CSV.

The basics of totaling working time

Elapsed time, breaks, and working time

Elapsed time runs from clock-in to clock-out. Actual working time is that elapsed time minus the total breaks. If there are multiple breaks, add their minutes together and enter the total.

When clock-out is the next day

This tool does not automatically detect next-day clock-out. Select “Clock-out is the next day” when a shift crosses midnight. A shift's elapsed time is within 0–24 hours.

Hours:minutes and decimal hours

1:30 means 1 hour 30 minutes, and 1.5 hours also means 1 hour 30 minutes. The fractional part of decimal hours is not minutes in base 60. Do not read 1.50 as 1 hour 50 minutes.

Totals and displayed rounding

Values in minutes are totaled first, then converted to time formats. Decimal hours on screen use up to 6 decimal places; CSV may include more digits. Rounding may differ from the sum of the decimal values already displayed.

Dates and overlapping shifts are not checked

Shift dates are not entered, and each row is totaled independently. Duplicate shifts and overlapping time periods are not detected, so check that the shifts being totaled are not duplicated.

Frequently asked questions

How do I specify clocking out the next day?

Select “Clock-out is the next day” below the clock-out time. From 22:00 to 06:00 the next day with a 45-minute break, actual working time is 7 hours 15 minutes. This combination cannot be calculated if you forget to select the next-day option.

What if there are multiple breaks?

Enter the sum of all breaks in minutes. For 45 minutes and 15 minutes, enter 60. If you take no breaks, enter 0 rather than leaving the field blank.

What if clock-in and clock-out are at the same time?

Without the next-day option, the elapsed time is treated as 0 hours; with it, the elapsed time is treated as 24 hours. The only break duration allowed for a 0-hour shift is 0 minutes.

What happens to the previous results when I change the input?

Changing a time, break, next-day option, or note, or adding or deleting a shift, clears the previous results. Press “Calculate total” after making changes. Reset restores one shift from 09:00 to 18:00 with a 60-minute break.

Can I also use it to calculate pay or statutory overtime?

This tool totals actual working hours from clock times. It does not calculate pay, premium pay, statutory overtime, or elapsed time that accounts for changes in time zone offsets.

What does the CSV include?

There are 8 columns: shift note or row number, clock-in, clock-out, next-day flag, break minutes, working minutes, hours:minutes, and decimal hours. Table/CSV copying includes only shift details; saving a CSV file adds a total row at the end.

Input and results

Input
1–100 shifts. Times are 00:00–23:59, and breaks are the total number of minutes as an integer. Optional notes are limited to 120 characters. Each shift's elapsed time must be within 24 hours.
Results
Totals are calculated in minutes and displayed as hours:minutes and decimal hours. If any shift has an input error, no total is calculated.
Save
Saved as work-time.csv. The file uses UTF-8 with a BOM; copied CSV text has no BOM. Date data is not included.
